Devices that are already unlocked carry on as they are. A new device, or a colleague, uses the new one. Nothing is sent again.
At least 10 characters. This is the password you sign in with. The passphrase that unlocks the data does not change.
Both come from the Supabase project and are stored on this device only. The publishable key is meant to be public; the sign-in and the access rules protect the data. Never paste the secret key here. Signing out also locks this device.
What syncs: calls and quote requests with their photos (full size), appointments, the CRM accounts and contacts, belt reference data, plant audit register, zone overrides, planning weeks and reassignments. Everything is locked with your passphrase before it leaves this device. A call you have open is not changed under you — an update to it waits until you leave it.
keeps the CRM export, the belt data and the audit register up to date for the team. They reach this device by themselves when it syncs.
No data loaded.
Export the ANZ Active Food Contacts view from Dynamics as .xlsx or .csv, then import it here. The .xlsx keeps the hiddenSheet, which is what makes writing back to Dynamics possible. Data stays on this device.
No register loaded.
Copy_of_Plant_Audit_Master_Database.xlsx. Which belts are actually installed, by Intralox asset number. Reload it whenever you refresh it — a reload replaces the whole register, so new belts appear and nothing needs merging. This is customer data: it stays on the device and never goes to GitHub.
No data loaded.
Plant_Audit_Template_1.xlsm. This is what drives the series, style, material, sprocket and flight pickers on the belt form. It is the bigger of the two files — the app will sit still for a few seconds while it reads. Leave the screen on until it says it is done.
No manuals loaded.
Downloading needs signal, ideally Wi-Fi, and the screen left on: the app reads every page and keeps it as an image so it works with no reception. Or choose a PDF you already have:
One manual at a time. Import the MPB manual, wait for it to finish, then the ThermoDrive one. Each takes several minutes and needs the screen left on — every page is read and turned into an image so it works with no reception afterwards. The first import needs a connection once, to fetch the PDF reader. These are stored separately from the Belt Call Log's copy, so loading them here does not touch that app.
A one-off move out of Task Slaughterer. Open tasks go on today from 8am; done ones go on the day you ticked them off. Saved notes and products go to Lists. Importing the same file again adds nothing.
The account-name zone pins and the suburb spelling corrections. They contain customer account names, so they load from a file rather than shipping with the app. Zones themselves are built in.
The starting point for every output. The dashboard picker overrides it for one file without changing this.
Used as the organiser on calendar invites. Without it Outlook has nobody to send from, so invitees are left off.
Text files to add to a Claude Project, grouped by account with their opportunities and large account plans, with a read-me that tells Claude what everything means and where to start. Photos are never included. Condensed keeps each call to its summary, for a quicker read. Free-text notes can still mention people by name. The files hold customer details: send them only where the company allows.
One file with your calls, quote requests, tasks, appointments, accounts and settings — not the photos, which stay in the cloud. Your undo if something is deleted on every device, or the passphrase is ever lost. Keep it somewhere off this device.
Adds and updates records by id. Nothing already here is deleted.
Nothing waiting: Dynamics has everything changed here.
New contacts, contacts who moved or left, changed titles, emails and mobiles, and account managers and account team leaders changed in the app. Download the list for CAG, then mark it sent. Each change moves to Done by itself once a CRM import shows Dynamics has it.
Skip steps 3 and 4: in a team, the admin loads the accounts and the belt data for everyone. To use the app on your PC as well, do step 2, then open the same link there.
On an Android phone:
On an iPhone:
Once it has opened once, it works with no signal.
On an iPhone you can't share a file into Field CRM from another app; use its own import buttons instead. If the microphone button doesn't work, use the microphone on the keyboard.
Plan the week on the PC. Do the calls on the phone. Cloud sync keeps the two in step.
The app arrives empty. You load your own customers, and they stay on your devices and your encrypted cloud copy.
Do this again whenever the CRM changes. Monthly is plenty. With cloud sync on, your phone gets the accounts by itself.
In a team, only the admin does this and step 4. Everyone else gets the accounts and the belt data from the cloud.
The newer audit form (FORM v1.2) doesn't import yet. Use Plant_Audit_Template_1.xlsm.
The plant audit register (which belts are installed where), if you have it, is under CRM and belt data too. The engineering manuals have their own section in Settings (see How do I… Get the engineering manuals), and the zone overrides file is under Other imports.
You get the project address, the key and your sign-in from whoever set up the cloud project.
Keep the passphrase in your password manager. Without it nobody, including you, can read the cloud copy.
In a team, Cloud sync shows the team's name and its admin. The team shares its call reports, visits, account plans, opportunities, product ideas and the Intralox people, and the CRM accounts and belt data the admin loads. Your tasks stay yours.
To change the passphrase (on your own, or as a team's admin):
Devices already unlocked carry on. New devices, and colleagues, use the new one.
After that it runs by itself: when the app opens, when you come back to it, when signal comes back, and a few seconds after any change. With the phone and the PC both open and online, a change on one shows on the other within a few seconds. Cloud sync in Settings says "Live updates: on" while that is working.
Outlook uses it as the organiser on the invites. Without it, the people you invite are left off.
Drag a visit to another day to move it. The coloured chips filter by focus. To end a search, click × beside the box, or press Esc.
Under the zone, click Add to mark it as this week's territory. Once it is marked, it says so with a tick. Further down, Territory this week still downloads the week markers.
Week and Day run Monday to Sunday. Saturday and Sunday are narrower and shaded. A visit booked on a weekend stays there.
Only visits that changed since last time are in the file, and downloading again updates Outlook rather than adding a second copy. The colour on a visit: blue is not in Outlook yet, green is in Outlook, orange has changed since. Download again.
Your tasks with a date go in the same file, as appointments at their time. They have no invitees, so Outlook sends nothing, and they carry the category "Field CRM task". Ticking a task done in the app does not change Outlook.
In Month, each day shows how many visits (navy), tasks (light blue) and quote requests (orange) it has. Tap a day to see it.
The Team chip appears only when your team has more than one person. A colleague's visits are theirs to move or change.
With Tasks picked, the search looks at tasks only. The filter goes back to All each time you open the app.
On the PC, click the visit, then Start the call at the bottom. Anything you changed on it is saved first.
The call opens with the account and the people already filled in. Once started, the same button says Open the call.
It goes on the calendar by itself, at the time you started it.
Close out is for a visit with nothing to write up. It still counts as a visit. The same menu has the contacts' numbers, and Reopen for a visit that's already closed.
A note saves itself to the call log as soon as it has text, and a project as soon as it has a name. Every change saves as you type, and the form says so at the top. Done takes you back. Rub out a new one before you leave and it's taken back out.
A belt or health check saves on Done. Leave one with nothing typed and nothing is saved. Leave it half filled and it's kept as a draft for next time. A health check needs a severity.
The belt form is in sections: Belt data, Sprockets, Flights and sideguards, Photos and comments, and Quote contact. Tap a section's name to open or close it. A closed one shows a line saying what's in it. A new belt opens on Belt data; a belt you've already logged opens with them all closed.
Starred answers are the ones the engineer needs. They are counted, never forced: Done keeps what is there, and the evaluation says what is still to come. Tap the evaluation in the call log to carry on.
To send it, tap Create and share, then Evaluation only under Include, then the way to send it. The full call notes list the evaluation and say it is its own document. Log it as a belt on a conveyor puts it in the call log as a belt, ready for a quote.
Every free-text box on a call has a microphone beside Tidy: the note, a project's next action or notes, a belt's comments, and a health check's fault, recommended action or comments. So does a task's notes, and every text box on an opportunity's map and Blue Sheet, the account plans, product ideas, a visit's agenda and your CIP.
Or hold the microphone while you talk, and let go when you've finished. While you hold it, it keeps listening through pauses.
Chrome sounds an alert each time the microphone starts listening. Pausing doesn't start it again; only Continue does.
Say how you want it laid out as you go: "make that a bullet list", "scratch that", "delete the last sentence", "new paragraph". Claude does it and leaves those words out.
To tidy something you typed, or dictated with the keyboard's microphone:
It fixes punctuation and voice-typing mistakes and turns several points into bullets. It keeps your facts and numbers and adds nothing. Check it anyway.
The microphone uses the phone's own speech recognition, which needs signal and keeps no recording. If there's no microphone beside Tidy, this phone's browser doesn't offer it; the keyboard's microphone still works.
It needs signal and cloud sync signed in. The text in that one box is sent to Anthropic (the company behind Claude) to be tidied, without the app's encryption. Nothing else is sent, and nothing is sent unless you tap the button.
If it says the AI key has not been added, it hasn't been set up yet.
The summary goes at the top of the full call notes. It isn't put in the health check or belt requirements documents. You can also type or dictate it yourself, and change it any time.
To tidy every box in the call at once, tap Tidy all notes in the same place. Each tidied box is listed and ticked. Untick any you want to keep as they are, change any wording, then tap Use ticked. Keep all mine changes nothing.
Each box tidied counts towards the 200 a day.
Only empty boxes are filled. Anything you'd already typed or picked stays as it is. A tinted box goes back to normal once you change it.
The line under the button says what was filled, what was left alone, and anything it couldn't read. Series, style and materials have to match your belt reference data; anything that doesn't is listed for you to pick.
The photo of the sheet is kept with the belt. It needs signal and cloud sync signed in, and the photo is sent to Anthropic to be read. It counts towards the 200 a day.
The tabs follow the order the work goes in: the large account plan leads, its Blue Sheets are the opportunities that need particular relationships to reach an outcome, and the sites' account plans take their lead from it. Large accounts show their sites, Blue Sheets and site plans, and when they were last reviewed. Blue Sheets are listed by close date, nearest first, with their position and red flags. Account plans show their goal, last changed first.
In a team, Mine shows your own and Team your colleagues'. The search icon looks through all three lists, everyone's, by name, account or person.
To start a new one from here:
If the account already has an account plan, or the site is already in a large account, the list says so and tapping it opens that one.
Do this on one device. Cloud sync takes it to your others. Your CIP and MBOs are yours alone: they never go to your team, the admin included. They are not in the app itself either, so each person brings in their own.
Each goal, strength and gap can be locked on its own with Lock, and opened again with Edit. The bin removes one, after asking.
Four pillars shows how your time splits across your role. Type the share now and the target for each pillar. Tap + to add a bubble, and tap a bubble to write its plan or move it to another pillar. On the PC you can also drag bubbles. Reference shows the job indicants, the LCI principles, the BU goals and the booklist.
Each quarter pays up to a quarter of the annual cap. Anything over carries to the next quarter, and whatever is still over after Q4 is not paid. A Mega MBO marked Met pays its share of the cap on top. A locked quarter keeps the values it was locked at, even if the list changes later.
Tap an MBO's name to see the proof it needs. To change the list, tap ⋯, then Edit the MBO list. If the list is locked, tap ⋯ and unlock it first. A new year starts by copying last year's list.
To plan next year's MBOs while this year's run:
Next year's list says Planning until 1 January, then it is that year's list. Add the values once they're agreed.
A tick goes into the call's quarter (January to March is Q1), with the account and the date. Untick it to take it out. Moving the call to another date moves its ticks. A locked quarter can't take new ticks.
To have one tick itself:
Everything you set must be true for the tick. Untick a rule's tick on the call, or delete it on the MBO screen, and the rule leaves that call alone.
Initiatives sit under the MBOs and earn nothing. To add one, tap Add initiative at the bottom of the MBO screen. To make one count towards an MBO, open it, pick the MBO under Counts towards an MBO, and pick the quarter it starts from. From then on a call ticked on either counts on both, and is paid once.
A task can count too: open the task, pick it under Counts towards. It counts in the quarter you tick the task done. A CIP goal with a related MBO shows that MBO's count for the year.
Your MBOs, initiatives and ticks are private. They are kept with your MBO list, never on the call, so your team never sees them.
Each party has its own colour: the end user dark blue, head contractors dark cyan, OEMs and integrators grey, and Intralox red, around the opportunity in orange. People hang under their party as an organisation chart, each under who they report to. A party that has not specified Intralox, or is unsure, has a dashed orange edge, so it stands out.
Tap a party to say where a head contractor stands (Bidding, Appointed or Out of it), who an OEM works for, and which belting an OEM prefers. An OEM can work for a head contractor or for another OEM or integrator, so a conveyor builder under a line integrator under the head contractor draws as a chain. Under Works with, an OEM or a consultant ticks the other parties it deals with and how (for a consultant, Specifies for or Advises); each draws its own line. A consultant is an engineering firm or designer working with the end user and the OEMs. An OEM, contractor or consultant that is one of your customers in the CRM shows its account manager, who covers its people by default as at a site. On the Blue Sheet, anyone with a part in the decision whom nobody of ours covers is listed as a gap, wherever they work. Intralox is ticked to start; tap a supplier to add or take it off, or type another and tap Add.
Tap a person to see their relationships on their own: everything else fades. Their role, view, rating, win and evidence are under More detail. Tap the opportunity to see everyone again.
At the top of the list, People shown hides everyone's people, and Links on hides the relationships between people. The eye next to a party hides just its people. The list keeps each party's people folded away: tap the arrow at the left of a party to show them, and again to fold them away. On a large account's map the list names a site without the account's own name, so Sample Foods - Northside reads Northside there; the map shows the full name.
On the PC, drag a party, or the opportunity, to move it; its people move with it. On the phone the list folds above the map; tap Parties and people to open it. Drag the background to move around, and use − and + to zoom.
Everything saves as you go, and the team shares it. To add the objective, value and close date, change the name, or record how it ended, tap Details. A map made before this change is sorted into parties the first time it opens.
Every text box on the map and the Blue Sheet has a microphone beside it. Tap it, talk, then tap Finish: Claude tidies what you said, and you check it before it goes in.
To delete the opportunity, tap the bin at the right-hand end of the bar above the map, or the bin on its card on Strategy or on the account. It says what will be lost and asks first.
Companies are matched to your customer list where they can be, even if the voice typing misspelt them a little. A company with several sites needs the site said. Anyone new at one of your customers joins its contacts, marked Not in Dynamics yet. Someone already on another Blue Sheet brings their part and stance as estimates.
To add more to a map later, tap Add from a description at the top of the list beside the map. Parties and people already on it are not added twice.
It needs signal and cloud sync. Only the description and the customer's name go to Claude, never your customer list.
Anyone you add to a map under one of your customers joins that customer's contacts, marked Not in Dynamics yet. The team sees them too. They stay through every CRM import until Dynamics has the same name at that customer, then the mark goes by itself.
They go to CAG with the other changes: see Owners, moved contacts and changes for Dynamics.
When you type a name into a party's table and that person is on another Blue Sheet at the same company, their part and whether they helped us are filled in from the latest one. These boxes are dashed: they are estimates. Change one and it is yours; leave it and it stays marked. On the map, tap the person to see the estimate and their other Blue Sheets. Choosing their part or stance there confirms it.
To record how an opportunity ended:
The outcome shows on Strategy, goes with each person's history into the next Blue Sheet, and the coach reads both.
Who covers each person comes from the map: link one of ours to them with Our coverage. The Gaps list shows what is missing: nobody who signs the order, no coach, someone not covered, or a part not known.
On the map, the opportunity shows where we stand, a card shows both parts (E/T), and the stripe down a card shows how well our base is covered with that person. With nothing selected on the map, the panel beside it has the same three rows of chips.
The Blue Sheet works the same on the phone and the PC. Tap Map to go back to the map.
To get coaching on it:
The coaching is kept with the opportunity, so Coach shows it again with no signal. After the sheet changes, tap Write it again. The coaching is never in the Blue Sheet document.
Both follow Miller Heiman's own Blue Sheet, in its order and with its letters, so anyone who knows the form can read it. The PDF is A4 and is named after the account and the opportunity. The Excel copy is laid out in the template's own cells, so it opens in Excel and can be imported back. Excel can't carry the map. The map is left out unless you tick it, because it is your planning view.
It brings in the objective, the position and its ticked boxes, the ideal customer criteria, the buying influences with their roles, influence, mode, rating and evidence, the strengths, the red flags, the possible actions, the best action plan, and the communication notes. Anyone the sheet names as an OEM or consultant goes in the OEM lane. The opportunity goes on the account you are on, whatever account the sheet names.
Sites are grouped by the customer's name before the " - ", or by a group or parent account column if your CRM export has one. Every site in the plan shows a Large account card on its account screen. It says where the site sits: the corporate account or head office over it, its division, the site that engineers for it (or the sites it engineers for), the group functions over it, its OEMs and the account team leader. Tap the card to open the map with that site chosen. Ticking the box on another site of the same customer adds that site to the same plan.
The large account's map is its own, kept with the plan. The sites on it follow the plan's site list: add a site to the plan and its box appears; take one out and its box goes, unless you added people under it. The map reads top-down: corporate or the head office at the top, with the functions that report to it; then the divisions; then each engineering group with the sites it serves stacked under it; then the OEMs and head contractors, and Intralox at the bottom. A site nobody engineers for hangs from its division, or from the top. Once an OEM's Works with is set, its lines go to those boxes, labelled with how it works. The account's own name is the title at the top of the screen. The first time the map opens it starts with everyone from the sites' opportunities, once each, under their own site; after that, people added to it stay on it and not on the opportunities. A new map has no corporate box until you add one, so nothing appears that isn't a real account or site. Each site starts with every contact the CRM export has for it, and a later import adds anyone new. A site that had nobody on it shows them in the list beside the map but not on the map itself; tap the eye next to the site to draw them. OEMs, head contractors and any other box that is one of your customers fill the same way; a box whose name you typed can be tied to the customer list with Match to a customer in its panel. Taking a site out of the plan takes its contacts from Dynamics with it, unless you have worked on them. A map made before this change keeps its group box as the corporate account, with its people; if that box was never used, it is taken away. Tap Map at the top of the plan to go back to it. Open opportunities are listed from the sites' opportunities. Create and share puts the account's map in the document.
To take a site out, untick the box on its account plan. To delete the whole plan, tap the bin at the top of the plan. The sites, their own plans and their opportunities stay.
The boxes with a chain stay on the large account plan. Their people, the links between them and whether they have specified Intralox are kept there, so a change on the opportunity shows on the large account's map and on its other opportunities, and a change there shows here the next time the map opens. Where you put a box on this map is this opportunity's own. Links you draw between this opportunity's people and theirs stay with the opportunity. The Blue Sheet, the coach and Create and share include them. Unlink deletes nothing.
Each site's account manager, from the CRM export or as reassigned in the app, joins the Intralox box when a map opens and has people at that site. If you take them off the map, they stay off. They have a default link to everyone at their sites, shown as a dashed line only when you tap them or one of those people, and marked not rated yet in the list. A default link is not counted as coverage on the Blue Sheet until you rate it; rating it makes it an ordinary link. A relationship rated Unknown stays dotted and stays on the list to rate. Neither an Unknown one nor a default one counts as coverage: the Blue Sheet lists it as a gap, for example "Ben Rose's relationship with Pat Plant is unknown", which you can make a red flag.
An OEM, integrator, head contractor or consultant is one company, whichever large account or Blue Sheet it is on. Its people, who they report to, and their relationships with our people are kept once and shown the same on every map.
What belongs to the deal stays with each map: their part in the decision, whether they are helping us, the ratings, wins and evidence on the Blue Sheet, the spec, who they work with, and their links to the customer's people. Hide: not relevant is for this map only.
Take off this map on one of the company's people takes them off the company, so off every map; the panel says so first. Removing the company's box from a map leaves it as it is everywhere else. Where two maps had the same person before, they become one, and the most recent edit or rating is kept.
To change a site's account manager:
A box on a large account's map with no account of its own, such as group engineering, a division or corporate, has an Owner instead:
Until an owner is picked, the account team leader looks after group engineering, the head office and corporate. The owner joins the Intralox box with a default link to everyone in that box. To go back, tap Change, then Back to the account team leader. An owner here is not sent to CAG: Dynamics has no account for the box.
To change every site of a large account at once, tap the map's background so nothing is selected, then under Owners tap Change every site. To set the account team leader, tap Change under Account team leader there. The ATL joins the Intralox box at the top, with a default link to everyone at corporate, the head office and group engineering; untick it on any of those boxes to switch it off.
Each person in a box's People list, and in their own panel, has three actions:
Take off this map, at the bottom of a person's panel, is for someone added by mistake.
When a contact moves, or their details change:
On a large account's map, someone who moved to another of its sites moves to that site's box; someone who moved elsewhere comes off the map. The contact list shows them at their new account, and as moved at the old one, until Dynamics has it.
When you change a contact's job role or title, pick from the list. The lists are the job roles and titles Dynamics already holds, from your CRM export, so what goes to CAG fits Dynamics. If what you need is not there, pick Something else… under Job role, or type a new title: it is kept, and flagged on the list so you check it before sending.
To see what will go to CAG, and send it:
An account manager change is on the list as soon as you make it, from a map, Strategy or the planner. Change it again before it is sent and the same row changes; put it back to the owner Dynamics has and it comes off. Once a CRM import shows Dynamics has a change, it moves to Done. The bin on a change takes it off the list; for an account manager, the account stays with the new manager.
The spreadsheet has a sheet each for new contacts, moved contacts, changed details, people who left the company and account owners, with Dynamics' contact ID where there is one. Each row has what Dynamics has now beside what it changes to, when it was made and by whom, and a Check column for anything not in Dynamics' lists. Next time, only changes not sent yet are included; tick Include ones already sent to send them all again. A team member's account manager changes go through the team's admin.
To put our people on a large account or a Blue Sheet:
Someone without a position yet shows what the CRM has them as, for example account manager of 12 accounts. Positions and who reports to whom are added by hand. Deleting someone the CRM put on the list keeps them off it. Typing a name that is already on the list updates that person rather than adding them twice.
The list is shared with your team. On a map, someone in the Intralox box with the same name is tied to their record and shows their position. When their manager is in the box too, they are drawn under them, as an organisation chart. Someone on a map who is not on the list yet has Add to Intralox people in their panel. Deleting someone from the list leaves them on the maps they are on.
Keep an account plan:
Growth means they want more of something; Trouble means something is going wrong for them now; Steady means they see no need to change; Overconfident means they think all is well when it isn't. The brief and the coaching both read the plan. The bin removes a person; the bin at the top deletes the whole plan.
Before a visit:
The brief is saved with the visit, so it's on your phone with no signal. Tap ⋯ on the visit, then Brief, to read it again. Write it again writes a fresh one.
To prepare all of tomorrow's visits at once:
During the call:
The ticks stay with the call and are never in a report.
After the call:
Nothing in the plan changes until you tick it, and a suggestion never replaces something already in the plan. The coaching stays with the call and is never in a report. The next brief for that account reads it, so each visit builds on the last.
The coach follows SPIN Selling and Strategic Selling, with Value First, Then Price and The Speed of Trust from the Intralox booklist. It works only from what's logged for that account and says when something is unknown. It needs signal and cloud sync, sends that account's records and plan to Anthropic (and, for a site in a large account, the large account plan: where the site sits in it and the people over it), and counts towards the 200 a day; Prepare tomorrow counts one for each brief it writes.
The layout is yours alone. Cloud sync takes it to your other devices; your team never sees it.
The first time the app opens after an update, it says so once at the bottom of the screen.
Photos with nothing logged yet go in Loose photos and come out at the end of the notes. Tap a photo to look at it. The × on it deletes it.
On the PC, to add a picture you have copied (a screenshot, or a picture from an email, a drawing or a web page):
In an entry, the picture joins its photos and is kept when you tap Done. On the call itself it goes in Loose photos. You can also drag a picture file from a folder onto the screen. Copied text still pastes as text.
Pressing Enter at the end of a bullet starts the next one. Pressing Enter on an empty bullet ends the list. The button is under the call summary, a note, a project's notes, a belt's and a health check's comments, a health check's recommended action, a task's notes, a visit's agenda and an opportunity's description. In the notes you send, the bullets come out as a proper list, and a blank line starts a new paragraph.
The bin only shows on what is yours to delete. A deleted record also goes from your other devices, and a shared one from the team's, when they next sync.
A copy opens without being saved. Change what's different and tap Done. Photos aren't copied.
A task still shows on its day in the calendar as well. An overdue one stays on Tasks until you tick it done or change its date.
It goes on the calendar at the next half hour, for 30 minutes. Change the day or time on the form. Tick its box when it's done.
Open tasks go on today from 8am. Done ones go on the day you ticked them off. Products go to the Products tab of Plan; saved notes are kept in the backup. Account names that match the CRM are linked; any that don't are kept as typed and listed. Cloud sync takes them to your phone. Importing the same file again adds nothing.
Open in Outlook starts a new email in your phone's or PC's mail app with everything filled in. Nothing is downloaded. A very long body is copied instead, for you to paste in. Copy copies the body on its own.
If your phone opens a different mail app, set Outlook as the default email app in Android's settings.
Draft it works like Tidy: it needs signal and cloud sync, and sends the points and the task's contact, account and project to Anthropic to write the email. It ends with "Kind regards," so your Outlook signature follows. You can say things like "keep it short" or "put the parts as a list" with the points.
Each step has its own tab: Ideas, Requested, Approved, Stocked and Not going ahead. To move one on, tap ⋯ on it and tap Move to the next step, or open it and tap the step. The ones most customers want come first.
A product idea has no due date. For a follow-up on a day, tap ⋯ on it and tap Make a task, or tap Make a task in the form. The task is named for the product and carries its customers.
To send the list, tap Share the list at the top. It lists every product by step, with the customers who want each one.
Tap a product to change it. Duplicate on the ⋯ opens a copy to change before it's saved. To delete one, tap the bin on the right of its card.
Put when it is needed by, and any reference, in the quote's notes. It shows on the calendar, in orange, on the day you made it. Tap it there to open it again. It never goes to Outlook.
On the PC, to put the notes straight into an email:
The copy has the text and tables, laid out. Photos are not in it, because Outlook on the PC blocks pictures held inside pasted text. To send photos, tap Download to this PC instead and attach the file.
Only the people ticked for customer documents are named in it. Tap the card at the top of the call to change who.
Once the file has gone, open Create and share again and tap Drop the photos, keep the record to free up space. The photos are in the file you sent.
To finish a call, tap ⋯ on it in Reports, then Mark done. Done with nothing to report is a normal finish.
Mine shows your own calls. Resume, the Home count and your calendar show only your own.
An account's history shows everyone's calls there, with the name of whoever wrote each one.
Only the person who wrote a call, or the team's admin, can delete it.
The message has a set-up link, their email and the temporary password. They choose their own password once they are in. To send the link again later, tap ⋯ next to their name, then Send the set-up link.
They can no longer sign in or see anything the team shares. The calls, visits and photos they wrote stay with the team, under their name.
Each done call goes in Customer\Site\2026-10-09: the call notes (the same file Create and share makes) and every photo as its own file. Quote requests go in Customer\Quote requests\2026-10-09.
The account name is split at its first " - " into customer and site. With no " - ", the call's own Site is used.
Next time, click Save to PC folder, then Save new and changed. Only calls that are new or changed since last time are written; a changed call replaces its old copy. The number on the button is how many are waiting.
To use another folder, click Save to PC folder, then Choose a different folder. Everything done is saved again into the new one.
On a later day Chrome may ask again before it saves. Click Allow this time (or Allow on every visit, if it offers it).
The button isn't on the phone.
It covers done calls and quote requests dated more than 12 months ago. Each one is saved to the PC folder first, and every full-size photo there is checked. Only then does the app keep an 800px copy in place of each photo, on this PC, your phone and the cloud.
The full-size photos are then only in the PC folder, in the call's own folder. Open the call and tap Create and share to see where: the line at the top says Full-size photos archived on the PC.
If a call's photos can't be checked in the folder, that call is left exactly as it was and the message names it. Run it again later.
A photo added to an old call later is full size until the next time you archive.
There are three: the MPB engineering manual, the ThermoDrive engineering manual, and the MPB installation manual (installation, maintenance and troubleshooting). Once imported they work with no signal.
When signed in to cloud sync, the app checks the Intralox website once a week for a new edition. If there is one, that manual's line says so, and its button changes to Get the new one.
In a call, the book icon at the top opens the manuals without leaving the call.
Your calls, accounts and photos aren't touched.
The call opens for a made-up customer, Test customer, with one belt already logged. Try dictating, Tidy, Write summary, Coach me or Create and share on it. It's marked TEST, stays off the calendar, and syncs to your other devices like any call.
To try the opportunity map on a made-up project:
It has one head contractor and three OEMs with four people each, and an engineering manager with engineers under him at the end user. It's marked TEST.
To clear them all away:
Only test calls go, here and on your other devices. Real calls are never touched.
The files are text: any large account plans first, then each account's details and plan, its opportunities with their Blue Sheets, and its calls, oldest first. Opportunities are included whatever the period, because they are live now. Photos and test calls are never included. A big export comes in several parts; add them all.
The files hold customer details. Send them only where the company allows.
To restore, choose the file under Restore and tap Restore from backup. It adds and updates. It never deletes anything already there.
Cloud sync isn't a backup: a delete reaches every device. The backup file is your undo.
Uninstalling the app deletes everything on that phone. Make sure it has synced, or back up, first.
A fix isn't there yet. Get the latest version (above), or close the app fully and open it again.
Nothing shows on Plan. Either nothing is planned, or this device hasn't synced yet. Cloud sync in Settings says when it last synced.
Sync failed. The line under Cloud sync says why, usually no signal. It tries again when signal comes back.
An account is missing. It wasn't in the export. Check the view in Dynamics, then import again.
Field CRM isn't in the share list. It only appears once the app is installed from Chrome (Getting started, step 1).
The belt pickers are empty. Load the belt data (Getting started, step 4).

Prints in bold on the report. A blank line starts a new paragraph; a line starting with - or • becomes a bullet list.
Left unticked, the request is flagged so customer service knows to check the ID before quoting.

Tick who should appear on the compiled documents — call notes, health check, belt requirements and quote requests. Everyone stays on the call either way; unticking only keeps them off the page.
